    How does it work
   
 

Easy Setup:

  • There is no hardware required for the Carbonemail archive solution.
  • We will help you to configure your Email server to send a "blind cc" of all incoming and outgoing e-mails. There is no disruption to your existing Email services.

Administration:

  • We do all the work for you.
  • We capture all your mail and store it on our secure servers.
  • At regular intervals (monthly for most clients) we will backup your archives to non-rewritable DVD media.
  • We will then run our data validation routines.
  • You will receive a monthly report with your Email archive storage report via EMail.
  • As an option we will send you a sampling of the archived Emails.
  • We will store the DVD media for you and if you wish we can send you copies.

1. How secure are my e-mail archives?

  • Your e-mails are stored on servers located in our secure DataCenter.
  • All archive data is encrypted.
  • Servers are connected to UPS ( Uninterruptible Power Suppiles).
  • We require primary and backup contacts (with seperate passwords) at your company who are authorized to access the archives. All archive requests are logged.
 
 

2. What options are available for e-mail retrieval?

  • E-mails archive recovery can be filtered by date and is fully searchable.
  • Online e-mail recovery sessions are available.
  • We can ship encrypted DVD media with e-mail archives on a regular interval or for a specified month upon request.
  • To meet compliance requirements, you can authorize an online session to a third party to access e-mail from a specific period in time.
  • All e-mail retrieval request events are logged.

  3. What fees do I incur if I have to retrieve e-mail?
  • Most mail is self-retrievable using the website.  We are available to help you with more complex retrievals. Call or e-mail for our current rates.
  • The first DVD costs $20 + shipping. Additional DVDs per request is $5.

  4. Can I use carbonemail as my e-mail backup system?
  • For a hassle-free backup system see www.copycube.com . CopyCube was designed to complement CarbonEmail and provides on-site / off-site backups for your file servers, desktops, laptops AND mail servers.
  • CarbonEmail as an archive service cannot restore your email server.  However you can use the archive to  retrieve emails by date, subject, SentTo address, SentFrom address. Our clients find this to be very useful when someone accidentally deletes e-mails or cannot find an e-mail.

5. How do I fulfill Compliance and Regulatory requirements.

  • SEC, NASD, NYSE, Sarbanes-Oxley, HIPAA and other agencies have different requirements for records preservation lengths, specific storage methods and availability. We can customize the archive solution to meet your needs.
  • You need to check with your attornery to determine what exact requirements need to be met.
  • Some of the requirements we see on a regular basis are:
    1. All e-mails must be available for 6 years (first two years easily accessible)
    2. Archives must be stored and verified on non-rewritable media
    3. Data must be serialized (i.e. each item singly identifiable)
    4. Data must be reasonably easy to search and retrieve
    5. Data must be accessible by a third party

6. Will e-mail archives at Carbonemail be affected by actions taken by our users?

  • Carbon e-mail archives are not affected by actions taken by your users.
  • All incoming and outgoing e-mail is archived on our servers regardless of what actions your users take.
